Minova HR: Multi-Tenant HRMS with UK Right to Work Compliance
Minova HR is a cloud-based human resource management system (HRMS) we designed and built for UK businesses and European SMEs that run several branches or companies. It combines everyday workforce management with automated immigration compliance, so employers stay audit-ready without the paperwork. Visit the live product at minovahr.com ↗
The challenge
Multi-branch employers in the UK face two problems at once. Right to Work checks and visa expiry dates are often tracked in spreadsheets, which puts them at risk of civil penalties for illegal working. At the same time, rosters, leave and attendance are spread across different tools and branches, which makes payroll accuracy and audits slow and stressful.
We needed one secure platform where directors could oversee several companies and stores, managers could run their own sites, and compliance records were always up to date.
Our solution
We built Minova HR as a multi-tenant web application with these core modules:
Right to Work and immigration compliance
Digital share-code validation, automatic visa expiry alerts at 90, 60 and 30 days, and a Certificate of Sponsorship (CoS) ledger to support sponsor licence readiness.
Multi-organisation management
Business owners can manage multiple companies, trading entities and physical stores from a single dashboard, with each tenant's data kept isolated.
Geofenced time and attendance
Staff clock in and out from their phones, and GPS boundaries confirm they are on site. The system generates timesheets and flags unusual shifts.
Role-based access control
Seven permission levels, from Super Admin, Director and HR Manager to Store Manager and Staff Viewer. External immigration solicitors get a restricted, audit-only view.
Employee document vault
Secure storage for contracts, ID checks and HR notes, with one-click export of compliance dossiers for inspections.
Rostering and leave
Weekly shift planning, self-service leave balances, sickness tracking and manager approvals with email notifications.
Technology and architecture
- Frontend: React 19, TypeScript and Vite for a fast single-page app, with HeroUI and Tailwind CSS for the interface, TanStack Query for data handling and Framer Motion for smooth animation.
- Backend: Firebase Cloud Functions (v2) and Firestore, with tenant-isolated security rules and custom JWT claims for role-based authorisation.
- Storage and email: Firebase Cloud Storage for compliance documents (encrypted in transit and at rest), with transactional email through Resend.
- Compliance by design: Built with the UK Data Protection Act 2018 and GDPR in mind.
Business benefits
- Lower compliance risk: Standardised Right to Work records and expiry alerts reduce the chance of illegal-working penalties, which can reach £60,000 per worker for repeat breaches (verify current figures). Less admin: Rosters, leave, documents and compliance sit in one system instead of several.
- More accurate payroll: Geofenced clock-ins stop off-site time errors at branch level. Faster audits: HR teams and legal advisers can pull time-stamped records in seconds.
- Results from live use: [Add a real metric here, such as number of companies, employees or checks processed, if you have one.]
